Job Description

POSITION SUMMARY:


To provide support to the high school in maintaining the best possible processing of purchases, collection of funds, and tracking of other related items.

ESSENTIAL FUNCTIONS:

  • Process and account for all Auxiliary Operation Funds, Tax Credit, and Student Activity Funds bookstore inventory, scholarship awards, travel expenses, etc;
  • Prepare receipts, and complete paperwork for game officials;
  • Secure change and prepare cash boxes for gates and concession stand for each home event and Activity Fundraisers;
  • Collect, reconcile, and deposit funds from all athletic, classroom, extracurricular, student council, student club, bookstore, and other onsite activities not connected with M&O, Soft Capital Outlay, or Grant funds and maintain all appropriate related records;
  • Maintain ticket logs and issue tickets;
  • Maintain and reconcile sales inventory forms. Immediately review discrepancies and shortages/overages;
  • Maintain fund raiser & activity calendars to gain understanding of upcoming events and bookstore needs;
  • Forward tax credit collections to District Office for processing and deposit with proper documentation.
  • Order and sell athletic passes;
  • Coordination of the payment/procurement for tournaments and invitationals;
  • Assist with the coordination, planning of all tournaments, invitationals and special events;
  • Processes eligibility, build eligibility groups and clearance (sports forms, athletic fees, physical exams);
  • Assist coaches, teams, clubs, and sponsors in completing proper paperwork for purchasing, fund raising, collecting funds, and depositing funds;
  • Maintains files with copies of team member's clearance forms for coaches;
  • Makes sure Athletic fees are paid;
  • Contacts other schools and officials to compare and confirm game schedules.
  • Verifies athletic transportation needs with the District's Transportation Department.
  • Schedules and confirms Athletic Event Worker's schedules to ensure all events are covered.
  • Prepares letters for the Athletic Director.
  • Order, maintain, and sell bookstore inventory of school supplies and WHS apparel;
  • Issue student and staff parking permits, keeping track of vehicle and permit information and working with security as needed to determine vehicle ownership;
  • Complies with all rules, regulations and policies of the Governing Board.
  • Manages all incoming calls, as needed.
  • Is required to provide reasonable supervision over all students on school grounds, or engaged in school-sponsored activities.
  • Other duties as may be assigned.

CERTIFICATES, LICENSES AND REGISTRATION REQUIRED:

  • Ability to pass a background check and maintain a current Fingerprint Clearance Card.

EDUCATION AND/OR EXPERIENCE:

  • High School Graduate or equivalent;
  • Money handling experience;
  • One year related experience or training;
  • Previous experience in an educational setting preferred.
  • Minimum three years of progressively responsible secretarial experience requiring above-average skills; computer/word processing, basic accounting skills, and receptionist's skills.

  • Computer Skills - Demonstrated competency in computer applications such as Word, Excel, Outlook, and typing.
  • Communication Skills - Ability to read and interpret general documents such as employee handbooks and safety/training manuals. Ability to write general correspondence and speak effectively with others.
  • Math Ability - Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
  • Reasoning Ability - Ability to interpret assortment of instructions furnished in variable forms. Ability to apply reason to research and solve moderately complex issues with little or no assistance.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
  • Physical Demands: While performing the duties of this job, employee is frequently required to sit, talk, and hear. The employee occasionally will stand and walk. The employee is occasionally required to reach with hands and arms. Employee will frequently interact with the public and other staff members. Specific vision abilities required by this job include close vision.
